At Athena Workflow, we won’t let your Data Privacy fall through the cracks. Gaining visibility into your Firm includes understanding how we collect, use, and share your information when you are a visitor to a Athena Workflow website or a subscriber of the Athena Workflow Application and Services (collectively, the “Services”).
What does this Privacy Policy cover?
This Privacy Policy governs our collection and usage of personally identifiable information (“Personal Information”) gathered when you are accessing one of our Websites (support@athenaworkflow.com) or using our Services as an Authorized User of a subscriber.

It also describes your choices regarding use, access, and correction of your personal information. If you do not agree with the data practices described in this Privacy Policy, you should not use the Websites or Services.

We periodically update this Privacy Policy. We will post any privacy policy changes on this page and will provide a prominent notice, either directly on the Website, by sending you an email notification, or, for active subscribers, In-Application notifications. We will also keep prior versions of this Privacy Policy in an archive for your review.
Personal Information
This refers to any information that identifies you personally, including contact information, such as your name, e-mail address, company name, address, phone number, and other information about yourself or your business. Personal Information can also include information about any transactions, both free and paid, that you enter into on the Websites, and information about you that is available on the internet, such as from Facebook, LinkedIn, Twitter, and Google, or publicly available information that we acquire from service providers.

Personal Information also includes System Information about your computer (IP address, browser type, and browser version) and Usage Information (pages/content viewed, referred pages, and visit length). This will be connected to Personal Information provided when you subscribe to our Services.

This Privacy Policy lays out how this information is collected and used by us, and your rights regarding our processing of this information.
Sensitive Information
This refers to credit or debit card numbers, personal financial account information, Social Security numbers, passport numbers, driver’s license numbers or similar personal identifiers, racial or ethnic origin, physical or mental health condition or information, other employment, financial or health information, or information about individuals under the age of 16.

Subscribers provide payment information including credit card information, which is stored with a PCI-Compliant processor.
What Data Do We Collect?
When You Visit our Websites
You are not required to provide any information to us when visiting our Websites. You may choose to provide Personal Information when contacting us regarding sales, support, or general inquiries.

We automatically collect System and Usage data of all visitors to our Websites.
When You Use our Services
Use of Services by our Subscribers
The Athena Workflow services allow subscribers to record and organize information about their customers (“Clients”) to manage and track client work. You may provide information about your Authorized Users, as well as your Clients.

Athena Workflow does not control the types of information that our subscribers may choose to collect, store, and manage about their clients using our Services. That information belongs to them and is used, disclosed and protected by them according to their privacy policies and is not subject to this Privacy Policy. Our subscribers control and are responsible for correcting, deleting, or updating information they have collected from you and have stored using the Services.

Athena Workflow processes our subscribers’ information as they direct and in accordance with our agreements with our subscribers, and we store it on our service providers’ servers, but we do not have control over its collection or management. Our agreements with our customers prohibit us from using that information, except as necessary to provide and improve our Services, as permitted by this Privacy Policy, and as required by law. We have no direct relationship with individuals who provide Personal Information to our customers. Athena Workflow acknowledges that you have the right to access your Personal Information.

We may work with our customers to help them provide notice to their visitors about their data collection, processing, and usage.
Information That We Collect
We automatically collect System and Usage data for all users of our Services.

Athena Workflow requires registration to use our Services. At a minimum, we require Company Name and Phone Number for the Organization, and Name and Email address of each Authorized User. Additionally, users may optionally provide phone number and mailing address. Some or all of this information may be retrieved automatically through available opt-in Integrations with Third Party systems, such as Quickbooks.
Information Collected From Other Websites & Third Parties
We may use third-party services to collect publicly-available information about Authorized Users, including without limitation social media information, profile information, gender, company, job titles, photos, physical addresses, and website URLs based on the email addresses input into the Services.
What Do We Do with the Data?
All the information provided to and collected by the Services, including personally identifiable data, are used to:
  • Identify Authorized Users and secure their accounts and track their preferences.
  • Provide the Services you request as part of the Agreement, which may include detection and resolution of security or technical issues.
  • Provide timely and accurate support in response to your comments and questions
  • ​Notify you regarding your account and requested Services, such as invoices, confirmations, and usage summaries
  • ​Communicate with you about promotions, new features and products from Athena Workflow, and for other general marketing purposes
  • ​Better understand how you engage with the Services to provide an enhanced experience and to improve our Website and Services
  • ​Protect, investigate, and deter against fraudulent, unauthorized, or illegal activities
  • ​In order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, or as otherwise required by law.
Your information will never be shared with or sold to other organizations for commercial purposes, except as described within this Privacy Policy.

We may post subscriber testimonials and comments on our Website, which may contain Personal Information. We will always obtain the written consent of the subscriber prior to posting.

If Athena Workflow is acquired by or merged with another company. In this event, we will notify you before the information is transferred and becomes subject to a different privacy policy.
Where Do We Store the Data?
All data currently resides in and is processed within the United States of America. In order to provide the best experience for all of our customers, we may decide to process information in other countries, as well. For any Personal Information that may be transferred from the European Economic Area, a Data Processing Addendum may be obtained by contacting support@athenaWorkflow.com.

All Personal Information is stored as long as necessary to provide our Services and may be stored indefinitely, unless otherwise requested.
What about Cookies or Tracking Data?
We use session cookies to distinguish individual users, remember when they are logged in, and store users’ preferences.  We also use third-party analytics cookies and tracking mechanisms to better understand how our Authorized Users and visitors interact with the Website and Services.

We use retargeting cookies that allow us to direct advertisements to visitors who have viewed our Website in the past.

Web Beacons, or Tracking Pixels, are used to track the effectiveness of our communications and marketing activities.
What about Payment Information?
Any credit card information you provide as part of the Services is processed directly by our payment processor, Stripe, through their Stripe Checkout service. We never receive or store your full credit card information. Stripe commits to complying with the Payment Card Industry Data Security Standard (PCI-DSS) and using industry standard security. Stripe may use your Payment Information in accordance with their own Privacy Policy here: https://stripe.com/us/checkout/legal.
What about Social Media and Third Party Links?
Our Website and Services may contain Social media widgets and buttons, such as from Facebook or Twitter. These features may collect System and Usage data, as well as use cookies to identify unique users or preferences.  We may also post links to other third party websites. Any Social Media features or third Party Websites are governed by their own policies and not by this Privacy Policy.
How do we secure the data?

With whom do we share the data?
We employ other companies and people to perform tasks on our behalf and need to share user information with them to provide the Services to our users. Unless clearly specified, such third parties do not have any right to use the Personal Information we share with them beyond what is necessary to assist us. This includes third party companies and individuals employed by us to facilitate our Services, including the provision of maintenance services, database management, Web analytics, and general improvement of the Services.

How do I access, update or delete my data?
If you are a client of a Athena Workflow subscriber, contact that subscriber directly to resolve your request. Athena Workflow will forward any requests from clients regarding their personal information directly to the responsible subscriber and will work with them to resolve the request as necessary.

As a subscriber, you may access, update, or delete the data you have supplied to the Services at any time by logging into your account. For any other requests or assistance, reach out to us at support@athenaworkflow.com. We will respond within a reasonable timeframe.

Visitors and Subscribers who reside in European Economic Area (“EEA”) may have additional rights regarding their Personal Information and may refer to https://Athenawf.com/gdpr for more information.
How to I opt out?
You may update your settings in the Services at any time to reduce the number of notifications you receive from the application. You may also unsubscribe to any email communications you receive by following the unsubscribe instructions provided in the footer of each message.

You may be able to change the preferences on your browser or device to prevent or limit your device’s acceptance of cookies, but this may prevent you from taking advantage of some of our features.
Information About Children
The Services are not intended for or targeted at children under 18, and we do not knowingly or intentionally collect information about children under 18. If you believe that we have collected information about a child under 18, please contact us at support@athenaWorkflow.com, so that we may delete the information.
